Job Summary / Purpose

The Infotrieve Information Technician is responsible for completing records management of client proprietary information. This position includes various entry-level administrative functions such as data entry, and processing of proprietary information in a production environment. 

Essential Job Functions

- Prepare documents for scanning including counting pages, staple removal, etc.

- Scan prepared documents in a high volume environment.

- Prepare folders for new reports, generating labels, filing and retrieving reports

- Perform data entry

- Conduct simple searches in internal proprietary systems.

- Prepare documents for off site storage

- Keep current about client needs, services, technology and materials needed to successfully fulfill requests and maintain Business Intelligence Center integrity

- Perform Information Technician responsibilities based on each individual tasks performance objectives and the Procedure Handbook

- Responsible for maintaining the Onsite Handbook and ensuring all procedures are kept up to date

- Participate in special projects as requested and assist clients as well as other staff members, as needed

- Push a loaded book cart, carry and shelve materials, lift up to 35 lbs

- Ensure timely and accurate submission of activity reports, timesheets, expense reports and performance reviews

Basic Knowledge Requirements /Qualifications

- High School diploma with 3-6 months general office experience

- Strong attention to detail, organizational skills, ability to multi-task with strong follow through

- Proficiency with desktop software, typing (keyboard), Email, Internet navigation, as well as the ability to quickly learn new software and systems in the Windows operating environment (above average skills in MS Word and Excel preferred)

- Effective written and verbal communication skills

- Willingness to continuously learn and to operate in a dynamic environment

- Ability to lift up to 35 lbs., push a loaded book cart, carry and shelve materials

- Previous scanning experience and/or document conversion experience desirable

The Library Relations Assistant will report to the Director of Library Relations and will work in JSTOR’s New York office (149 Fifth Avenue). This is a part-time position (24 hours per week).


Position Duties and Responsibilities:

§ Managing the daily in-flow of participation inquiries for JSTOR; distributing those inquiries, as appropriate, to the designated individual(s); and responding directly to a wide range of participation queries via email.

§ Ensuring that service standards for responsiveness and quality are met.

§ Providing regular feedback to Library Relations staff at JSTOR on inquiry trends.

§ Tracking monthly statistics for participation inquiries, including posting and reporting results on an as-needed basis.

§ Other tasks as assigned.

Required Qualifications:

Bachelor’s Degree.
Must be very service-oriented and detail-oriented with excellent oral communication and interpersonal skills, as well as demonstrated writing ability.
Demonstrated ability to set and maintain high standards of service.
Must have a professional telephone demeanor.
Demonstrated proficiency in computer skills, including extensive use of email and word processing. Must possess a general aptitude for learning new software programs.
Demonstrated proficiency in using the Internet and web resources.
Two or more years experience in a service-based environment.

Education, Training and Research (ETR) Associates is a national center for publications, training, research and clearinghouse services in family life, and comprehensive health education, substance abuse prevention and tobacco use education and prevention. ETR's publishing division publishes and distributes curricula, books and pamphlets in these areas for schools, clinics and youth-serving organizations across the country.

OVERVIEW
This position is supervised by the Tobacco Education Clearinghouse (TECC) Resource Library Coordinator. Duties include but are not limited to: bibliographic database record creation; acquiring resource center materials; responsibility for providing circulation/dissemination services; providing reference and research services; processing and shelving/filing of resource center materials including daily mail and journal receipts; and library file and collection maintenance.

ESSENTIAL RESPONSIBILITIES AND DUTIES
· Creates original bibliographic records for resource library materials, entering data into the web-based library catalog according to established library protocols. Includes subject classification, physical description, and writing original abstracts.

· Responds to ready-reference, referral and in-depth reference requests from funded projects and TECC staff. Includes library catalog and other online and web-based database searches.

· Acquires resource library materials (e.g. subscriptions, books, videos, curricula, reports, government publications and review/preview materials) from producers and publishers. Maintains computerized on-order/in-process files, vendor invoice files and expenditure files.

· Participates in resource library current awareness activities (collection development, project teleconference participation, website monitoring) and resource library marketing efforts to funded projects.

· Operates and maintains circulation services, including creation of circulation reports, processing circulation and overdue requests, and handling circulation services file maintenance/paperwork.

· Oversees TECC materials receipt and serials check-in, processing, routing and shelving. Maintains back files, in-process shelves, and processing supplies.

· Processes vertical file materials and consults Vertical File Subject Headings List in order to assign topic(s). Assists with updating Headings List as needed.

· Assists in gathering information and statistical data for reports and in preparation of progress reports.


OTHER RESPONSIBILITIES AND DUTIES
· Participates in TECC, Clearinghouse Department and ETR staff meetings as appropriate.
· Other duties as required.

Required:

· At least two or more years experience with skills transferable to library related activities including: database management, customer service, circulation, materials ordering, abstracting and indexing, organizing/maintaining accounts, records and/or files.
· Consistent attention to detail.
· Excellent telephone, verbal, written and interpersonal communication skills.
